Privacy Policy
Last updated: October 9, 2026
This Privacy Policy describes how Acts Fleet Maintenance (“Acts,” “we,” “us,” or “our”) collects, uses, and shares information when you visit our website, request fleet service, or apply for a job.
Acts Fleet Maintenance is a fleet maintenance company based at 10625 Lexington Drive, Knoxville, TN 37932. We service company vehicles, equipment, and hi-rail units from locations in Tennessee and North Carolina. You can reach us at 866.938.5910 or quickinfo@actsfleet.com.
This policy covers our website and the inquiries you send through it. Repair orders, invoices, and other records we keep once you are a customer are part of that service relationship and are handled as described below.
Contents
1. Information we collect
Information you give us
We collect information you choose to send us, including:
- Contact and consultation requests: first and last name, email address, website, and the message you write about your fleet.
- Phone calls and emails to our published numbers and quickinfo@actsfleet.com, including the details you share so we can schedule service.
- Customer and vehicle information needed to perform work: company name, site address, contact person, unit numbers, and the repairs you authorize.
- Job application details submitted on our Careers page, including name, email, phone, the position you are interested in, and your message. Applications opened in the job board are collected by our applicant system, described below.
Information collected automatically
When you browse the site, we and our service providers may collect technical information such as your IP address, browser type, device type, referring page, and the pages you view. We use this to keep the site secure and to understand which pages are useful.
The locations map loads map tiles from a third-party provider. That provider may receive your IP address and approximate location as part of displaying the map.
We do not ask for sensitive information such as government ID numbers, precise health information, or biometric data through this website.
2. How we use information
We use personal information to:
- Respond to service requests and schedule preventative maintenance, equipment repairs, and hi-rail work.
- Prepare recommendations, obtain approval before repairs, and keep the records our customers and regulators expect.
- Send service-related messages, including follow-ups about an estimate or an open job.
- Review job applications and contact candidates.
- Operate, secure, and improve the website.
- Comply with law, including tax, safety, and recordkeeping requirements.
We do not sell personal information. We do not use it to make automated decisions that produce legal or similarly significant effects.
3. How we share information
We share information only as needed to run the business:
- Service providers that host the website, deliver email, store files, or provide the locations map, and only for those purposes.
- Rippling, which hosts the job board on our Careers page and processes applicant information under its own privacy policy.
- Professional advisors, insurers, or authorities when we are required to, or when it is reasonably necessary to protect Acts, our customers, or the public.
- A buyer or successor if the business, or a substantial part of it, is sold or reorganized. We would require that party to honor this policy for existing information.
We do not share personal information with third parties for their own marketing.
4. Cookies and similar technologies
We use cookies and similar technologies that are needed to run the site, remember a form in progress, and protect against abuse. We may also use analytics cookies to see which pages people visit and how the site performs.
You can block or delete cookies in your browser. The site will still load, but some features, including the map or a saved form, may not work as expected. Browser “Do Not Track” signals are not consistent across the industry, and we do not respond to them.
5. Job applications
Open roles are listed on our Careers page. The embedded job board is provided by Rippling. If you apply there, Rippling collects your application materials and shares them with us so we can evaluate candidates. Please review Rippling’s privacy policy for how that system handles your information.
If you use the application form on our site instead, we collect the name, email, phone, position, and message you submit, and we use them only to consider you for a role and to contact you about it.
6. How long we keep information
We keep inquiry and customer records for as long as we need them to respond, complete the work, and maintain the relationship. Safety, warranty, tax, and accounting records are kept for the period required by law or by our insurers. Job applications are kept long enough to consider you for current and near-term openings, then deleted or archived as our hiring process requires.
Server logs and analytics data are kept for a shorter period, then deleted or aggregated. If we cannot delete something immediately because it is stored in a backup, we isolate it until the backup expires.
7. How we protect information
We use reasonable administrative and technical safeguards designed to protect personal information. No website, email, or phone transmission is completely secure. Please avoid sending sensitive personal information through the contact form.
8. Children’s privacy
This website is for fleet operators, their employees, and job applicants. It is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has sent us personal information, contact us and we will delete it.
9. Your choices and privacy rights
You may ask us to access, correct, or delete the personal information we hold about you, or to stop sending marketing email. Service messages about an open job or an account are separate from marketing, and we may still send those.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. Depending on where you live, including California and other states with consumer privacy laws, you may also have the right to appeal a decision we make about a privacy request. We will not discriminate against you for exercising these rights.
To make a request, use the contact details below. We may need to confirm that the request is yours before we act on it. If we deny a request, you may reply to that decision and ask us to review it.
10. Third-party websites
Our pages link to tools we do not control, including the Rippling job board and map tiles. Those services have their own privacy practices. A link from our site is not an endorsement of that service’s policies.
Use of the website is also covered by our Terms of Service.
11. Changes to this policy
We may update this policy as our services or the site change. When we do, we will revise the “Last updated” date at the top. The version posted on this page is the one that applies.
